Terms of Service
These terms are an agreement between the church that signs up for HomeField Directory and Whitened Fields Ministries. They also apply, where relevant, to every member who signs in. We have kept them short and in plain English on purpose.

1. Who is agreeing
"HomeField", "we" and "us" mean Whitened Fields Ministries, a sole proprietorship in North Carolina, United States. "Church" or "you" means the church or organisation that created an account, acting through its admins. "Member" means anyone the church has added to its directory who signs in. By creating a church, or by accepting an invitation and signing in, you agree to these terms and to our Privacy Policy.
The person who signs up a church confirms that they are authorised to do so on the church's behalf.
2. What the service is
HomeField Directory is a hosted, private member directory. It lets a church record families and people, lets members keep their own details current, lets admins approve certain changes, and shows the directory to signed-in members through a website that can be installed on a phone. It is not a church management system and does not handle giving, attendance, events or communications beyond the emails the directory itself needs.
3. Accounts and admins
- A church must have at least one admin. Admins can add, edit and remove people and families, invite members, approve changes, change settings, and manage billing. The church is responsible for choosing its admins carefully and for what they do.
- Everyone who signs in must keep their password private and tell their church admin promptly if they believe their account has been used by someone else.
- Information entered about children must be entered by a parent or guardian, or by a church admin with the family's knowledge. Children are never given accounts.
- You must provide accurate information when you sign up and keep the church's contact email current, because that is where we send billing and security notices.
4. Free trial
New churches receive a free trial, currently 10 days, with every feature enabled. No payment method is required to start. When the trial ends, the directory is paused until an admin chooses a plan. Nothing is deleted at the end of a trial; the retention rules in section 7 apply. We may change the length of the trial for new sign-ups at any time.
5. Fees and billing
- The service costs a flat fee regardless of the size of the church: currently $14.99 per month or $149 per year. Current prices are always shown on the pricing page.
- Payments are processed by Stripe. By subscribing you authorise recurring charges to your payment method until you cancel.
- Subscriptions renew automatically at the end of each period at the then-current price. If we raise prices, we will email admins at least 30 days before the increase applies to your renewal.
- If a payment fails, we will tell your admins and allow a grace period of seven days to update the payment method. The directory keeps working during the grace period. If payment still fails, the directory is paused until payment succeeds.
- Taxes are added where the law requires and are shown before you pay.
6. Cancellation and refunds
- An admin can cancel at any time from the billing page. Cancelling stops future charges.
- Monthly plans continue to the end of the paid month and are not refunded for the remainder of that month.
- Annual plans are refunded for every whole unused month remaining in the year, calculated from the date of cancellation.
- Refunds are returned to the original payment method.
7. Your data
- The church owns the directory data it enters. Members own the information about themselves. We claim no rights in either beyond what is needed to run the service.
- The church is the controller of its members' personal information and HomeField is the processor. The church is responsible for having a lawful basis to record its members' information and for telling members that the directory exists.
- We will never sell directory data, use it for advertising, or use it to train AI or machine-learning models.
- Admins can export the directory at any time. A complete backup is available on request.
- After cancellation, or when a trial ends without a subscription, we keep the data for 90 days and then permanently delete it. Backups roll off within a further 30 days.
- If we ever shut the service down, we will give at least 90 days notice, provide a full export, and refund any prepaid period on a prorated basis.
8. One email, one church
An email address can sign in to only one church directory on HomeField. If a church adds a person whose email already belongs to another church's directory, the person is not added until that church's head of household or an admin releases them. Either church may ask HomeField to resolve a dispute; in doing so we will act reasonably, will usually favour the wishes of the person concerned, and our decision is final.
9. Acceptable use
You agree not to:
- add anyone to a directory without a reasonable basis to believe they are connected to the church and would expect to be listed;
- use the directory to harass, stalk or discriminate against anyone, or to send unsolicited commercial messages;
- share sign-in credentials, or give access to people who are not members of the church;
- upload unlawful, infringing, or offensive material, or images of people who have not agreed to appear;
- attempt to access another church's data, probe or overload the service, or reverse engineer it;
- use the service in breach of any law that applies to you.
We may suspend or remove content or accounts that we reasonably believe breach these rules. We will tell the church's admins when we do, unless the law prevents us.
10. Members and heads of household
Members may edit their own information, hide fields from other members, and upload their own photo. A head of household may also edit shared family information. Some changes require admin approval before they appear. Members must keep their entries accurate and must not enter information about other people without their agreement.
11. Availability and support
We aim to keep the service available at all times, but we do not promise a specific uptime. We take daily backups. Planned maintenance will be short and, where possible, announced in advance. Support is provided by email during normal business hours in North Carolina. We do not promise a response time, but we usually answer within one business day.
HomeField support never changes a member's email address or resets an account at a member's request; the church admin does this because they can verify identity in person. See lost access to your email.
12. Changes to the service
We may add, change or remove features. We will not remove a core capability of the directory (recording families and people, member self-service, privacy controls, exports) without at least 90 days notice to admins.
13. Our intellectual property
The HomeField software, design, name and logo belong to Whitened Fields Ministries. You receive a limited, non-exclusive licence to use the service for your church's directory while you have an account. You may not copy, resell or offer the service to others.
14. Disclaimer
The service is provided "as is". To the fullest extent the law allows, we disclaim all warranties, express or implied, including fitness for a particular purpose and non-infringement. We do not warrant that the service will be uninterrupted or error free, or that the information in any directory is accurate; that information is entered by churches and members.
15. Limitation of liability
To the fullest extent the law allows, Whitened Fields Ministries will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost data, revenue or goodwill, arising from the service. Our total liability for any claim connected with the service is limited to the amount the church paid us in the twelve months before the claim arose. Some jurisdictions do not allow certain limitations, so some of these may not apply to you.
16. Ending the agreement
A church may end this agreement at any time by cancelling. We may end it on 30 days notice for any reason, or immediately if a church materially breaches these terms, fails to pay after the grace period, or if we are required to by law. Sections 7, 13, 14, 15, 17 and 18 survive the end of the agreement.
17. Governing law
These terms are governed by the laws of the State of North Carolina, without regard to its conflict of laws rules. Any dispute that cannot be resolved informally will be brought exclusively in the state or federal courts located in North Carolina, and both parties consent to that venue. Before starting any proceedings, each party agrees to write to the other and try in good faith to resolve the matter for at least 30 days.
18. Other terms
- These terms and the Privacy Policy are the whole agreement between us about the service.
- If any part of these terms is found unenforceable, the rest remains in effect.
- We may update these terms. If a change is material, we will email admins at least 30 days before it takes effect. Continuing to use the service after that date means the new terms apply.
- Neither party is responsible for failures caused by events outside its reasonable control.
- You may not assign this agreement without our written consent. We may assign it to a successor that agrees to honour it.
